Improve the structure of your meetings

Co-construct the agenda with your teams
Define the purpose and agenda of the meeting as soon as you send out the invitation. Specify the duration, recurrence, location, participants, and what's expected of them. Invite everyone to add any points they wish to raise to the agenda before or right in the middle of the meeting. We can't stress this enough: an effective meeting is above all a well-prepared one!
Document post-meeting actions
Find a concrete solution to each item added to the agenda. For example, suggest governance changes (create or modify a role), create a new publication, create and assign a task to a team member, add an OKR, an indicator or a checklist to follow. Then, follow up on actions taken during future meetings.

Designate a secretary to take notes during the meeting, and a facilitator tomoderate facilitate exchanges. Generate a meeting report based on the notes taken by the secretary. Share it with all participants, as well as with those who were unable to attend. This way, you're sure not to miss any important information!
